Personal data is defined by the Information Commissioners Office (ICO) as information relating to natural persons who can be identified or who are identifiable, directly from the information in question; or who can be indirectly identified from that information in combination with other information. Under the ICO definition, we store two forms of personal data:

• The name of a user as it is entered onto the platform

• The email address of a user as it is entered onto the platform.

What security exists around the storage and use of data on the modules?

We apply and regularly review appropriate technical and organisational measures to safeguard your data. This includes ensuring data is kept in a highly available state by replicating it across geographically distinct, physical data centres based in the UK. This ensures that in the unlikely event of one of our data centres suffering an outage, our systems can ‘flip’ to a different data centre. When we test these failover scenarios it takes - on average - 30 seconds to complete.

Your data is encrypted in transit and at rest.

Our internal access policies set out who at Invision360 can access your data, and we’ll only do so as part of a support request or maintenance. We apply principles of least access across all levels.

Do Invision360 modules align with existing case management software that we are using?

Yes, our quality assurance tools align with case management systems.

What does QEPA stand for and who is it designed for?

Quality Educational Psychology Advice

The module is specifically designed for Educational Psychology Services looking to implement or improve their quality assurance processes in a systematic, evidence-based way.

What is QEPA aiming to achieve?

The QEPA module aims to support Educational Psychology Services in effectively quality assuring and auditing statutory EP assessments . While establishing a robust and insightful quality assurance framework across an EP service is challenging, it's essential for any high-performing EP team.

Across the country EP Services are increasingly experiencing a hybrid workforce, with a combination of permanent EPs, Agency EPs, Trainee EPs and Assistant EP producing or contributing to statutory advice; having one module that can promote consistency and quality, is key in the current landscape.

Invision360's QEPA module provides a comprehensive framework that ensures Educational Psychology Services throughout the UK can consistently produce high-quality statutory advice.

How QEPA works

How easy is QEPA to implement?
QEPA is designed for simplicity and immediate use. As a cloud-based module, it requires no installation or downloads—just internet access and login credentials. Your team can be up and running after just one 40-minute training session.

Does QEPA require uploading EP assessment reports?
No. QEPA maintains data privacy by not requiring document uploads. Auditors simply view the EP report in a separate browser tab while completing the audit in QEPA. No personal identifying information (names, DOBs, addresses) is entered into the system. Instead, each audit uses a unique audit ID to reference individual assessments.

Can QEPA work with our existing EP report templates?
Absolutely. Similar to our other modules, QEPA is template-agnostic and works with any EP Service's existing documentation format. The module evaluates reports against universal "key themes" that reflect good practice standards for EP advice, regardless of your specific template structure. For context, over 60 Local Authorities currently use our EHCP module despite each having different EHCP templates.

How long does an audit take using QEPA?
On average, auditing an EP assessment report using the QEPA module takes approximately 20-30 minutes, making it an efficient quality assurance process that can be integrated into regular workflow practices.

Can the system adapt to our specific service needs?
Yes. While QEPA provides a standardised framework based on best practices across multiple EP Services, the system allows for service-specific customisation to align with your team's priorities and development areas.

Does QEPA help increase consistency in understanding what makes "good" EP statutory assessment advice?

The QEPA module features an automated moderation system specifically designed to help EP Services establish and maintain consistency in quality standards. This powerful feature allows services to create a shared understanding across the team of what constitutes exemplary EP statutory advice and monitor consistency between different auditors evaluating similar reports.

The automated moderation capability acts as a calibration tool, ensuring that all team members—whether newly qualified or experienced practitioners—are working toward the same quality benchmarks.

What are the key features of the QEPA module?

EP Services across the country have implemented QEPA in ways that address their unique needs, there's no set number of audits you can use just a sample.

Here's some examples:
Team-based moderation: Facilitate once a half-term EP team meetings where small groups audit the same EP advice. Following the session the collective team then use the moderation data to see consistencies/ inconsistencies in the audit outcomes for each individual theme, driving consistency.

Individual accountability: At the end of each term every EP reviews a sample of their own EP statutory assessments. They then join forces with a fellow EP engaging in peer moderation. Using our automated moderation feature, they delve into each other's advice reports and discuss the findings, fostering a culture of continuous improvement.

Associate/locum quality management: Create confidence in assessments from non-permanent staff with supervisor verification. Each individual ‘Associate/ Locum’ EP audits all of their statutory assessments. To ensure consistency and quality, their supervisor dip samples to verify that the outcomes align with the expected standards for each theme and the overall audit grading of the EP assessment report.

Training & development:Create two separate QEPA accounts at no extra cost—one for official audits that inform leadership and development plans, and another dedicated to training sessions where all staff levels practice auditing in small groups using the moderation feature to improve consistency.

There are many more examples, the above just highlight some of the different ways the QEPA module can be utilised.

Is ongoing training and support provided?

Dedicated Support Professional: Each EPS is assigned a dedicated Invision360 customer success professional who serves as your direct point of contact throughout your journey with the module.
Responsive Assistance: Your support professional ensures all training needs are met and promptly resolves any queries or individual challenges users may experience.
